This page covers the School's guidance and requirements for requesting and changing annual leave and reporting sickness and other absences whilst in an Academy placement.
Your Annual Leave entitlement is visible via ESR and is managed by the Lead Employer
Annual leave should be planned and requested with a minimum of 4 weeks notice. This is slightly less than the normal clinical/Lead Employer guidance of 6 weeks. Ad-hoc/odd days can be arranged at shorter notice on discussion with the Programme Support Team.
There is a maximum number of residents permitted to take annual/study leave at any one time.
For ST1s this is 3, for ST2s this is 2.
Please do not request leave if you can see that there is above the number in the annual leave calendar. Exceptional reasons may be considered for a minimum number of days, and will be discussed with the TSTL.
Annual leave carry over should be at a minimum and agreed with your current and next TSTL/Placement - this applies to the Academy as well.
You should spread annual leave equally across all your placements in a year, to give you the specific entitlement to take. You should review the Lead Employer pages in regard to entitlement, carry over and calculations.
Complete the Annual Leave Request Form at least 4 weeks in advance
Once approved this will be added to the Google Calendar and entered into ESR by the Programme Support Team
If you need to change annual leave eg to swap a day or if you have made an error with your dates you need to complete the Change Request Form
It is not permitted to cancel/change and interchange annual leave in lieu of self directed or cancelled sessions in the Academy calendar. Annual leave should be pre-planned and used for periods of rest and wellbeing. Any requests to interchange when sessions have been cancelled, or for self directed study will be challenged.
Complete the Sickness Leave form with the date and reasons for your absence. This information is entered into ESR. You can also notify the Programme Support Team by email.
Inform the Programme Support Team when you have returned to work so they can close the absence in ESR.
On your return to work you should arrange to meet the Academy TSTL and complete the Return to Work form together: https://leademployer.merseywestlancs.nhs.uk/online-forms?letter=r
This is important to complete so support for your health and wellbeing can be recommended and actioned
If you have encountered an injury or illness that is restricting your in person attendance, you must notify the Programme Support team and the TSTL immediately. A meeting will be set up to discuss and appropriate arrangements will be made.

If you encounter a situation that means you cannot attend work, there are different leave types that can be entered into ESR.
Academy Placements:
Inform the Programme Support Team by email or phone as soon as you know you cannot attend work or need to leave with a brief reason, so you can be advised of what leave is best to use.
Complete the Sickness Leave form and complete the other absence reasons.
If you think you need some extra support please also include your Academy TSTL in the notification.

For ST2s or exceptional request for Study Leave, you must request this in advance via Study Leave Request Form. Once approved you can request the Study Leave via Accent. Please see the Study Leave page for guidance. The same rules for those on requested leave already applies, special consideration will be taken if you have been invited to present at a conference.
Its important that you inform your TSTL in your placement as soon as you know you are pregnant to ensure you are protected within the department particularly with the nature of Radiology. Your supervisor should treat this in the strictest confidence whilst you may be in the first trimester.
A workplace/risk assessment should be carried out ASAP and you are safely protected during your pregnancy.
If you are in the Academy during this time then this should be arranged with the Academy TSTL who can support any appropriate adjustments.
Time off for antenatal appointments for both parents, can be taken but we ask you send a copy of your appointments in advance to the Programme Support Team who will note your appointments/absence.
Applying for maternity, paternity & shared parental leave is done via the Lead Employer. Confirmed dates will be forwarded to the Programme Support Team to adjust training and ARCP dates. If you are in or due to be in the Academy please also forward a copy of this confirmation.

Clinical Placements
